Job Description : Administration and Facility: · Providing management level support for facility operations and services. · Planning and Execution towards expansion /setting up of new facilities. · Vendor management, Negotiation,agreements/contracts finalization. · Invoice processing, staff supervision, contractor management. · Establish first aid requirements and procure related equipment/supplies. · Timely management of MIS and various other reports on facilities. · Responsible for awarding AMC’s and their timely renewals, installation & maintenance of Gen-sets, Air conditioners, EPABX. Operations and General Administration: · Formulating and implementing policies for managing the housekeeping and security affairs. · Handling administrative activities involving canteen. · Ensuring smooth functioning of Housekeeping, Security, and Machinery/Equipment services. · Handling the fleet of vehicles & transporters. Foreseeing and catering to bottlenecks in day-to-day operations. · Experience in organizing internal & external events. · Dealing with routine office emergencies and crisis management. · Ensuring on time delivery while monitoring transit norms. · Overseeing the logistic functions and negotiating with transporters for cost effective transport solutions and clearances. · Streamlining the system and procedures for effective inventory control to ensure ready availability of materials. Liasoning: · Liaising with local authorities,Govt/Semi Govt. Officials and various financial and statutory bodies. Fleet Management : · Handling the fleet of vehicles & transporters. . Foreseeing and catering to bottlenecks in day-to-day operations. · Handling administrative activities involving cafeteria management. Budget & Cost Control: · Planning funds for diverse operations, ensuring adherence to the allotted budgets. · Performing cost comparatives and cost optimization. · Designing and executing systems and processes for enhanced monitoring and control of resources and improved operational efficiency. Security: · Coordinate emergency procedures with security manager. . Train all facility occupants on emergency procedures, evacuation processes, and fire fighting. · Training of all the guards at the site. · Undertaken training of all Security Guards on Fire Fighting duties. · Management of access cards to all the employees at the site.
